Scope Overview:
Exactiv was engaged following receipt of two Design & Construct proposals for the refurbishment, make-good and fit-out of an existing commercial building in South Melbourne. While a preferred contractor had been identified the client sought independent verification of value for money and commercial alignment prior to contract award.
Exactiv undertook a detailed review of the contractor proposals which included assessment of pricing structures, margins, and scope allowances. Following commercial negotiations an alternative contractor was selected to be procured without impact to the project programme. The engagement continued through construction with Exactiv providing ongoing cost management, value engineering and assessment of variation claims.

Outcome:
A different contractor was successfully procured, delivering the project within the original programme. Through early cost planning, detailed scope development, and proactive commercial engagement the project was aligned precisely to the client’s operational requirements prior to contract execution. The works were delivered smoothly and of good quality with minimal variations and a highly satisfied end user.
Initial builder budget was approximately $1.5m, project cost at completion $850,000.00.

Scope Overview:
Exactiv was engaged to provide tender evaluation and procurement advisory services for a Design & Construct retail fit-out in Bulimba, Queensland. Two contractors had been invited to submit proposals each presenting differing layouts, scopes and pricing.
Exactiv independently reviewed the tenders, undertook detailed scope and cost clarifications with both contractors and facilitated discussions with the client to establish scope alignment and value for money. A formal recommendation was provided to support contractor appointment. The engagement continued through construction with Exactiv providing ongoing cost management, value engineering and assessment of variation claims.

Outcome:
Early identification and resolution of commercial and scope risks supported informed contractor selection and cost certainty. The project was delivered within the assessed budget achieving a timely completion and high-quality outcome. Variations were assessed and settled on a fair and reasonable basis.

Scope Overview:
Exactiv was engaged during the early planning phase to support the reconfiguration of multiple retail tenancies within an operating shopping centre. The project involved the relocation of existing tenants, extension of a major tenancy to accommodate future growth and lease renewal and delivery of works across two staged construction phases.
Exactiv developed the project scope and budget, prepared documentation suitable for Design & Construct tender, and managed the tender evaluation process, including contractor interviews and recommendation of a preferred builder.

Outcome:
Early definition of scope and budget enabled consistent tender pricing and clear comparison of submissions. Key commercial and delivery risks were identified and addressed prior to contract award, supporting cost certainty and minimising post-contract variations.

Estimating for Builders
Scope Overview:
Exactiv was engaged by the contractor to prepare an accurate cost estimate in support of a Design & Construct fit-out tender for medical consulting rooms in Darlinghurst. The appointment was undertaken at an early stage with limited design information available.
Working from a preliminary floor plan, Exactiv developed an initial cost plan and worked collaboratively with the contractor to refine the pricing strategy. This included adjustments to preliminaries and margins, as well as review and normalisation of subcontractor pricing to ensure appropriate scope coverage and commercial alignment.

Outcome:
The final tender submission was supported by a clearly defined and fully costed scope of works providing the contractor and end user with confidence in the proposed price. The project was successfully awarded to the builder with key cost and scope risks appropriately addressed at tender stage.
